Monique uses a Lean (Kaizen) approach to design and implement systems for your accounts, admin and operations. This keeps data tidy and efficient and helps the business owner better understand their reports and the information they need to supply for their bookkeeping, admin and accounting.

Our Xero Systems

Xero is a great tool but does require setup and knowledge to get the best out of it.

For consistency and efficiency it pays to have rules around your bank feeds to ensure correct coding and clear detail for your accountant. We can help train you and implement this.

Benchmark parctice is to input your bills with a PDF upload. Hubdoc (free Xero add-on) can help with this as can our monthly supplier statement check proceses.

We suggest you do a monthly bank reconciliation check to ensure your Xero bank balances match you actual bank balance. Catching errors early, saves in accounting tidy-ups and incorrect GST filing.

Other areas of Xero to bring structure and systems to include: invoicing, quoting and monthly management reporting. Invoicing is the last step in the the business process with quoting being of the first. To improve these processes you want to be clear on your labour and material costs. Our bill management and timekeeping processes help with this.

You want your reporting to provide the detail you need with nothing extra. This can be done by understanding your direct and your fixed (OPEX) costs. The way your profit and loss is setup will determine this. We can make adjustments for you work with your accountant for clarification.

 

Our Other Systems

  • Job Management Software - we use a variety of software to assist with operations and client communication. Typically you invoice and quote via these apps but keep your payables (bill) management in Xero. We help you choose the job software to suit your needs and walk you through the setup. Much can be done alone but it is helpful to understand how the system talks to Xero and ensure you have the fundamentals in place for efficient and easy use of the software.

  • Delegation Systems - it is common for business owners to have many of the tasks they do in their head. There comes a time for many, however, when they want to delegate. This requires knowledge to be conveyed by way of standard operating procedures (SOP’s). We show you a simple way to do this with screen shots (for technology) and photos (for tangible aspects). Having SOP’s helps you scale and sell your business (if you wish to do so). It sounds simple but this is a common area that business owners struggle with. Having someone to provide feedback and clarification makes a big difference in this area.
